Building Repeat Customers: A Simple Retention Plan for Restaurants
A lightweight, permission-based plan to turn first-time guests into regulars — no complicated loyalty app required.

It’s usually easier to bring back someone who already enjoyed a meal with you than to convince a stranger to try you for the first time. Yet many restaurants have no way to reach past guests at all. A simple retention plan fixes that in four steps.
Step 1: Collect contacts — with consent
- Add an email sign-up to your website, online ordering confirmation and Wi-Fi login.
- Use table cards or receipt QR codes with a small welcome perk.
- Always say what people are signing up for, and honor unsubscribes promptly.
Step 2: Welcome new subscribers
Send a short, friendly welcome soon after someone signs up: who you are, what you’re known for, and how to order or book. If you offered a perk, deliver it here.
Step 3: Stay in touch (without spamming)
A useful email once or twice a month is plenty for most restaurants: a seasonal dish, an event, holiday hours. Give people a reason to open — not just “we’re open”.
Step 4: Win back and reward
- Win-back: if a guest hasn’t ordered or visited in a while (you choose the timeframe), send a warm “we miss you” note — optionally with an offer.
- Loyalty: thank frequent guests after a set number of visits or orders.
- Birthdays: a simple birthday note is one of the most appreciated messages.
Keep score
Track list growth, opens and — when your ordering system is connected — repeat orders. Focus on trends over months, not individual sends.
